Booking Events

FASTbook’s booking modules are powerful tools that make managing room availability and booking fast and simple. You can view the calendar to check room availability or choose one of FASTbook’s three intelligent booking methods to select the location and the best available room for you. FASTbooking allows for quick capturing of all essential event information, and then finds the best available room according to your specifications. It allows you to find space, check attributes and book quickly all while the customer is still on the phone. It is so simple you can book the event in less than a minute. FASTbooking’s Advanced Booking feature allows you to quickly and efficiently schedule repetitive or recurring events. By using advanced booking’s unique pattern selector, you can schedule a dozen events as easily as you can one. FASTbook has robust doublebooking prevention routines baked right in. You will have complete confidence in your schedule.

Event Detail allows you to enter all relevant information on one screen. With a intuitive tabular design, this screen allows you to enter in everything. From resources to finances to notes to labor, this one stop form has it all. Very useful for managing detailed events all in one place.

FASTbook supports up to nine different statuses, with a catchall status that allows even more backlogging if desired. FASTbook provides users with an estimate, a request, and a cancel status. Each customer then has the ability to define up to six additional specific statuses.

Viewing Your Events

FASTbook’s calendars and timelines are a graphical display of your facility’s bookings and show you everything that is taking place. The calendar gives you an instant overview of your facility’s status in an easy to read monthly or weekly calendar form. The calendar is customizable to allow you to set your personal preferences, such as calendar colors, powerful filters, hyperlinks and information displayed. The user has access to notes from the calendar, so adding a quick note to an event is simple. The Daily Timeline is another graphical display of your facility’s bookings for one day. It gives you a snapshot of the status of all rooms. And for a broader display, our Monthly Timeline shows your facility’s bookings for an entire month. FASTbook’s Resource Managers coordinate all aspects of facility equipment, meals and labor, including inventory, availability, resource allocation, and invoicing for both in-house and vendor supplied resources.

Equipment – manages all aspects of your equipment including inventory, availability and cost.

Labor – enter their hours, and select the employee’s which you want to use; FASTbook will then calculate and keep track of cost.

Meals – list of meal components for in-house or vendor supplied catering. You can also select, change or add meal components for each event. For instance, specifying how many of which entree you need for that meal.

The Client Manager is a mini-CRM built right into the software. While FASTbook manages the event, FASTbook's client manager takes care of the client. From the clients first phone call until the end of the event or until the client has their next event you will stay in contact. Keep track of clients or potential clients. Create a history; attach messages, important files, display calls, meetings and to-do items associated with every client in your system. The client database allows you to enter personal information about each client making a reservation or conducting business at your facility.

Unlimited ticklers, including automated ticklers that set automatically just in case you forget. If you need reminders to do a follow up for an event, you can select a tickler from your list of user-defined ticklers, and the system will automatically notify anyone assigned a tickler when they log into FASTbook.

FASTmail connects to your email any time you need to correspond with a client to confirm or make a change to their event or just send them a reminder. It’s just a matter of selecting the FASTmail button, pick one of your correspondence templates that you previously created, add a note if needed and hit send.
